District 5 Website Submission Guidelines

Things to remember
Don’t assume that everyone knows what we do.
We don’t post the Board members email addresses to prevent spam. You can contact a Board Member via the message interface under the Board Member profile. The Board needs to take ownership of the website, submitting items, helping keep the information current, and promoting the website to lodges.


Lodge newsletters
You don’t need high resolution (72 ppi or pixels per inch, for photos used in pdf in a newsletter). Normally 300 dpi or dots per inch for printing high quality photos. Some newsletters are just too big to even upload.
Lodge’s that have their own website - encourage them to post it on both as some people won’t move to the lodge one if they are surfing the newsletter.
Submit the lodge newsletter in pdf format in the smallest size possible.
Any articles that can be put on the home page should be submitted in text form.
Post the newsletter on the District 5 website and then send out an email indicating that it’s posted.
Article submission button - a tool for members to use to post articles. They are approved by the webmaster and then posted. You enter the information into the submission area and designated the area to which you want it posted. Lodges should consider having an on-line version of their newsletter which would remove personal information, email information, financials, photos.


Photos
Just send the best photos - don’t dump the photos and expect the webmaster to figure them up.
Add captions, details and lodge.
Send in a jpeg format – image 72 dpi. (this is an adequate size for a computer screen display)
It’s best to send one photo and a caption per email rather than grouping them together. If they are sent in one email, clearly identify the pictures and caption.

We should be offering all the District and International scholarships on the website.
District convention information can be offered on-line to reduce mailings.

Build a database of email addresses for officers and leadership to send reminders to leadership.
Promotion of the Viking e-post to our membership.

pdf’s
You don’t always want a pdf – text doesn’t use as much space. 

Pdf’s are good for forms and things you don’t want changed, and when you want people to have a printed copy.

Content is important. sonsofnorway5.com will only be as good as information that is submitted.

The website is only one tool that can be used to communicate with the membership and the general public. Sometimes a phone call or a written letter are more appropriate.

Submit Articles
Log in with User Name and Password. If you forget your User Name and Password click on Forgot your Password and you will receive a prompt to enter the email address that is tied to your account. After submission, you will receive a long verification number. Cut and paste, and you can reset your password.

After log in, you will see a new button on the bottom of the left menu bar called Submit News. This takes you to a page where you can enter article information. You need to enter a title, article text, and select a category from the drop down menu, which will usually be News or Events.

When done, click save in the upper right hand corner. The webmaster will be notified, and then review your submission before posting it on the website.
